What you need to run AI on your Tally books

Before you start, it helps to know what running AI on your Tally books actually needs. There are two routes. One asks you to set up and run your own server. The other handles that for you. Here is the honest picture of both.

The do it yourself route

You can build your own connection. This means setting up a server that reads from Tally and exposes it to an AI assistant. It is possible, but it comes with real work that does not go away after setup.

  • You set up the server software yourself and keep it updated.
  • The machine running it has to stay on whenever you want access, often all day.
  • You handle the security, the encryption, and the backups on your own.
  • If it breaks, there is no one to call. You fix it.

For a business that does not have a technical person to look after it, this becomes a chore. The setup is the easy part. The upkeep is the cost.

The managed route

The Usual Accountant does the server part for you. There is nothing to build or maintain. You install a small Windows app on the computer that runs Tally, pair it once, and the encrypted cloud workspace that the AI reads from is managed on our side.

What still needs to be open, and when

This is the part people get wrong, so here it is plainly. Tally and the Windows app need to be open only during a sync, which is when the app reads your latest entries. A sync takes a short while. After it finishes, you do not need to keep anything open.

Once your data is synced, the computer can be off and Tally can be closed. You still get answers from your phone or any device, because the AI reads from the synced copy in the cloud, not from your office machine. You only open Tally and the app again when you want to pull in newer entries.

The short comparison

  • Do it yourself: set up a server, keep a machine on all day, handle security and fixes alone.
  • Managed: no server to set up, open Tally only during a sync, access from anywhere afterwards.

Both can work. The question is whether you want to run and babysit a server, or whether you would rather install one app and let the rest be handled for you.
